What changes at two people
The first hire breaks whatever informal system you had. Work that lived in your head — which job needs what, who promised the customer a Thursday — now has to be written down somewhere both of you can see.
This is the point where most owners buy software, and the mistake is buying for the company you plan to be rather than the one you are. A two-person crew does not need dispatching. It needs shared visibility of jobs and a way for the second person to see what they are doing tomorrow.
What changes at five
Five is where per-seat pricing becomes the dominant line item and where the tiers diverge sharply. On published rates, five seats is $117/mo on Tallie, $255/mo on Jobber Connect, and $149/mo on Housecall Pro Essentials — the last of which bundles exactly five, so it is competitive at precisely this size and less so below it.
Operationally, five is also when you stop being able to remember every open job. Change order tracking stops being paperwork and starts being the thing that keeps jobs profitable, because scope creep across five people is invisible until you invoice.
When you have outgrown small-business tools
There are reasonably clear signals. You have hired someone whose job is coordinating other people. You are tracking parts inventory. You need per-technician performance reporting. You are running a call queue rather than answering your own phone.
If two or more of those are true, tools built for small crews — Tallie included — will fight you, and the annual contract and implementation cost of something like ServiceTitan starts to be a reasonable trade. We would rather tell you that than sell you a subscription you will resent in six months.
The migration cost nobody mentions
Whatever you choose, assume you will move again eventually, and check two things before committing: can you export your clients, and can you export your invoice history. Client lists are portable almost everywhere. Job history usually is not.
